Ep 11 | Bookkeeping & Taxes Made Simple for Beauty Entrepreneurs
As a beauty entrepreneur, you're not just a creative genius - you're also the CEO, CFO, and everything in between.
Managing your finances may not be your favorite part of the job, but it's crucial to the success and sustainability of your business.
To help you navigate this often intimidating territory, I called in two industry experts - Stefanie Hodinh, owner of She Does Your Books, and Haylie Hardin, CPA and founder of Go Harden Accounting - to share their top tips for simplifying your bookkeeping and taxes.

Sole Proprietor vs. LLC: Which is Right for You?
When you're just starting out, it's easy to get caught up in the excitement of landing clients and neglect the more administrative aspects of running a business. But one of the first decisions you should make is choosing the right business structure.
"If you are making money and you're not working for an employer, you're automatically a Sole Proprietor," Stefanie explains. "It's a good place to start, especially if you're just trying something out. But when you're ready to level up, I definitely recommend forming an LLC."
Why? As Haylie points out, an LLC (Limited Liability Company) provides valuable legal protection by separating your personal and business assets. It can also make you appear more professional to potential clients. "Bonus: an LLC is pretty easy and affordable to set up," she adds.
The #1 Habit That Will Save You Hours of Bookkeeping Headaches
Be honest: have you ever used your personal credit card or PayPal to pay for a business expense? You're not alone. But according to Stefanie, this is one of the biggest mistakes beauty entrepreneurs make.
"Do yourself a favor and open a separate business bank account, even if you're a sole proprietor," she advises. "It's really the best habit to establish from day one. You'll save so much time and stress when it comes to tracking your income and expenses."
Plus, having a dedicated business account ensures you don't miss out on any tax-deductible expenses come tax time. Which brings us to...
Write-Offs You Can't Afford to Miss
As a beauty entrepreneur, you likely have more tax deductions available to you than you realize. Some commonly overlooked expenses include:
Your health insurance premiums
A portion of your rent or mortgage (if you have a home office)
Your cell phone bill and internet (if used for business)
Client gifts and marketing materials
Education, like online courses and industry events
"One of my favorites that surprises a lot of people is music subscriptions," Haylie shares. "If you're playing music while you work with clients, whether that's at home or in a shared space, that's a write-off."
The key is to keep detailed records and receipts for these expenses. Which is a lot easier when you...
Find an Expense Tracking Method You'll Actually Stick With
Look, I get it. Bookkeeping probably wasn't your motivation for starting your beauty business. But staying on top of your finances doesn't have to consume your life. The key is to find a system that works for you.
That could be as simple as a spreadsheet where you categorize your income and expenses at the end of each month. Stefanie also recommends exploring software designed specifically for the beauty industry, like GlossGenius, which combines booking, payment processing, and basic accounting.
"A lot of my clients really like the visual reports these kinds of systems provide," she notes. "You can easily see how your business is growing month-over-month and year-over-year."
And if you still absolutely dread dealing with your books? "Just commit to touching them once a month," Stefanie says. "Schedule a money date with yourself, pour a glass of wine, and knock it out. Your future self will thank you."
Treat Your Taxes Like Any Other Bill
Let's be real: taxes are a pain no matter what. But they don't have to derail your cash flow. Haylie's solution? Treat your tax payments like any other non-negotiable business expense.
"Every time you get paid, set aside a percentage (I usually recommend 20-30%) into a separate savings account," she advises. "Think of it as the government's money, not yours. Then when quarterly tax time rolls around, you won't be scrambling to come up with a lump sum."
Stefanie adds that many payment processors, like Square and Stripe, allow you to automatically withhold a percentage for taxes. "It's a set-it-and-forget-it way to build up your tax fund without having to think about it," she explains.
Build Your Squad of Support
At the end of the day, the smartest thing you can do for your business finances is recognize what you're good at (making people feel beautiful) and get help with the rest.
"There's no shame in outsourcing the stuff you hate or just aren't great at," Haylie says. "Paying for expert support, whether that's a bookkeeper, an accountant, or a financial coach, is an investment that will come back to you tenfold."
Beyond the tactical stuff, Stefanie also encourages beauty entrepreneurs to seek out mentorship and community. "It can feel isolating to go it alone, but you don't have to," she says. "Some of my best business breakthroughs have come from swapping stories and strategies with other people in the industry."
So whether you're renting your first salon suite, taking your solo operation on the road, or expanding your empire, remember this: you don't have to be a numbers whiz to build a wildly profitable beauty business. With a few simple habits and the right support squad in your corner, you can spend less time stressing over spreadsheets and more time doing what you love.
